Waste Ops Suite Digital operations for solid waste management

A modular business system that connects field operations, fleet tracking, approvals, and reporting—so teams can work faster with fewer mistakes and clearer accountability.

Type
Internal operations suite
Users
Field + office teams
Focus
Reliability & traceability
What was delivered
  • Unified admin dashboard for daily operations
  • Standardized forms and approval routing
  • Incident-ready reporting (traceability + logs)
  • Integration-ready architecture (APIs, adapters)
Key outcome
Teams follow one workflow language (statuses + approvals), enabling better reporting and fewer “lost” requests.

Overview

Waste Ops Suite is designed for organizations that run daily operations across teams, vehicles, and locations. It standardizes requests, approvals, and reporting—while connecting live GPS data and operational evidence (notes, attachments, photos).

Primary goals
  • Reduce mistakes with clear statuses and ownership
  • Improve accountability via audit trails
  • Make reporting reliable and consistent
Typical users
  • Field supervisors and operators
  • Dispatch / scheduling teams
  • Admin, finance, and compliance

Challenges

Requests were hard to track
Requests lived in chats, calls, and spreadsheets—making status and ownership unclear.
Approvals were inconsistent
Different teams used different rules and formats, creating delays and rework.
Reporting lacked reliable data
Without consistent statuses and timestamps, KPIs could not be trusted.

Solution

We designed a modular suite with a shared workflow model: request → approval → assignment → execution → verification → closure. This creates a single “language” for operations and reporting.

Included modules
  • Operations workflows (requests → approvals → execution)
  • GPS tracking (live map, trips, alerts)
  • Maintenance & spare parts (stock movements, history)
  • Fuel management (issuance, planning, controls)
  • Finance-ready reporting & exports
  • Role-based access control + audit trails

Implementation approach

The project followed an MVP-first delivery: ship core flows early, validate in real operations, then expand with integrations and reporting.

Phase 1
Workflow design + MVP forms + approvals
Phase 2
Execution dashboards + GPS + evidence capture
Phase 3
Reporting + exports + audit readiness
Phase 4
Refinements, training, and operational SOP alignment

Results

After rollout, teams reported clearer ownership and fewer “lost” requests. Reporting became more consistent due to standardized statuses and timestamps.

Operational clarity
Clear statuses
Everyone sees what happens next.
Accountability
Audit-ready
Logs show who did what.
Reporting
Consistent KPIs
Statuses enable reliable metrics.

Architecture & security

Architecture principles
  • Modular design (easy to expand)
  • Queue-based processing for heavy tasks
  • Integration-ready APIs / adapters
Security fundamentals
  • Role-based access control (RBAC)
  • Audit logs for approvals and changes
  • Secure sessions + CSRF protection
